SUMMARY:

Manage, plan and direct all assigned center(s) day to day operations, business, and non-physician clinical functions in alignment with NFMC performance objectives, policies and procedures. Represent and promote center(s) with a spirit of excellence.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Oversee daily center operations and delegate work to assigned staff.
  2. Ensure that office is appropriately staffed for covering all essential administrative and clinical functions. Prioritize, evaluate and modify center work activities for minimizing interruptions to patient care and optimizing center performance.
  3. Assure center is open and closed according to approved schedules.
  4. Ensure patients, center visitors, and callers are treated with courtesy, dignity, and respect.
  5. Establish a positive and professional working relationship with staff, clinicians, peers, management, and support resources with constant commitment to teamwork and delivery of exemplary patient service.
  6. Manage center slide fee scale program in alignment with slide fee scale policy and procedure.
  7. Foster a productive work environment by encouraging accountability, open communication, teamwork, and a commitment to achieving high patient satisfaction with customer service excellence.
  8. Accountable for ensuring staff adhere to all established NFMC policies and procedures and State and Federal regulatory requirements are implemented and followed within assigned center(s).
  9. Actively coordinate and participate in assigned care team activities such as staff training, meetings, and pre-visit planning activities.
  10. Direct and monitor care team activities for ensuring processes and workflows are executed in alignment with policy and procedure.
  11. Supervise center staff, including clinical staff, with guidance/input from the Chief Medical Officer and/or Clinical Services Director.
  12. Provide leadership and administer hiring, development/training, performance evaluation, discipline, and effective assignment of center staff.
  13. Facilitate appropriate communications between corporate administration and the center by participating in monthly center manager meetings, conducting monthly center staff meetings, encouraging an open-door policy, and proactively seek feedback from team members.  Ensure center mail is opened and appropriately distributed daily.
  14. Manage and secure the center’s physical and financial resources including Payroll, Annual budget preparation, purchasing, expenditure authorizations, supply and equipment inventory control, equipment maintenance, daily bank deposits, on-site cash drawer and petty cash balances, and timely accurate submission of all required accounting documentation.
  15. Ensure assigned staff observe and adhere to all safety rules and regulatory requirements while performing work assignments as defined by NFMC policy and procedure manuals.
  16. Responsible for center emergency preparation and response according to NFMC’s comprehensive Emergency Preparedness and Contingency plan.
  17. Work center accounts receivable balances each month. Maintain a routine collection plan and monitor patient financial agreements aggressively for minimizing account days in A/R.  Address patient billing inquiries and reconcile patient billing discrepancies.
  18. Maintain accurate on-site employee payroll data. Review and approve staff time records and forward to the payroll department for processing.  Manage and authorize center staff time, transfer time, overtime and time off requests, and properly communicate provider time off requests, including provider coverage plan arrangements.
  19. Identify and resolve staff and/or operational problems when they arise and as appropriate, offering solutions and/or process improvement recommendations.
  20. Promptly and effectively meet all assigned deadlines.
  21. Coordinate implementation of new or upgraded processes and systems, including responsibility for disseminating and training staff on new and/or revised policies and procedures.
  22. Promote and maintain a positive center image and relationship within the community served through effective public awareness and advocacy activities.
  23. Participate in professional development activities as approved by Director of Center Operations and/or CEO.
  24. Maintain strictest confidentiality.
  25. Perform all other duties as assigned in a professional and efficient manner.

EDUCATION AND/OR EXPERIENCE:

Associate’s degree (A.A.) or equivalent from two-year college or technical school; or equivalent combination of education and experience. Minimum of three years administrative experience including one year medical office experience. Courses in medical terminology and health care office management preferred. Medical Record Certifications useful but not required.
